What to include in a live-captioning brief.

The event format, languages, audience and intended output are useful starting points.
Explain the setting
Describe whether the meeting takes place in person, online or in a hybrid format. Include the expected duration, number of sessions and the way speakers will contribute. The organiser and technical contact may have different responsibilities, so identify both where possible.
Describe the audience and languages
State the spoken languages and the language in which you want captions displayed. Explain where the audience will read the text, such as a room screen or an online session. Transcription, translated subtitles and interpretation are different services; identify the requested output clearly.
Define the intended output
Explain whether you need live display, a text file after the meeting, or both. Mention any relevant formatting and terminology. These details give a better starting point for discussing the service, technical arrangements and deliverables for the particular event.
